How To Delegate Access To Gmail Account?

Delegating Access to Gmail account is granting access to your Gmail account by adding a delegate Gmail address to your account. This Gmail representative can read, send, and delete messages for you. Gmail offers to add a delegate, to grant access to your Gmail account. You can add up to 10 delegates. But if you are using Gmail through your work, school, or other organization, you can add up to 25 delegates. On the other hand, there is no limit to the number of accounts you can be a delegate for.

Delegates can access your contacts, read and delete messages sent to you, send or reply to emails that were sent to you. Moreover, a delegate cannot chat with anyone for you, cannot change your Gmail password or Gmail account settings.


You can remove delegate to Gmail account. Removing delegate to Gmail account will revoke access to your account from the representative.

Adding a delegate to access to Gmail account:

You can delegate access to your Gmail account to another Google account holder so that he/she is granted permission to sign in to your account to read, delete and send emails on your behalf. But, they are restricted to change your account settings or your password.

1. Open Gmail on your computer.

Note: Delegate access cannot be setup from Gmail app.

2. Click on the settings, on the top-right corner. And again click settings from the drop-down menu.

3. Click the Accounts and Imports tab.

4. In the “Grant access to your account” section, click Add another account.

Note: If you are using Gmail through your work or school, your organization may restrict email delegation. If you don’t see this setting, contact your admin.

5. Enter the email address of the person you want to add on the pop-up windows and click next step.

Note: This person is able to access to your account to read, delete and send emails on your behalf. They won’t be able to change your account settings or your password.

6. Click Send email to grant access, on the pop-up window.

The Person you are granting access to will get an email for verification saying that, Person has granted you access to their Gmail account- accept or deny. This notification is valid only for 7days.

Once they accept the request, by clicking on the link, your delegation will be complete.

When an email is sent on your behalf, the delegates own address will be included in the sender lines.



The delegate will be able to read and compose replies to your emails, as well as organize your contact list.
